How will Process & Workflow Management help you satisfy the Sarbanes-Oxley (SOX) requirements …

Is your organization prepared to implement required controls now imposed by the Sarbanes-Oxley Act? Do you know the key fundamental requirements of the Internal Control Certification? Most likely not, as indicated by statistics issued from several analyst firms, such as the META Group, recently publishing the result of a survey showing that:

  • 6% of firms believe they are ready for Sarbanes-Oxley
  • 90% have active SOX projects

Also interesting in these various analyses is the key position and value of Business Process Management (BPM) to facilitate the implementation of internal controls compliant to SOX regulations. In fact, AMR published in November 2003 that “enforcing such all-encompassing legislation requires companies to solidify and lock down many of their document-centric processes while pursuing means to monitor processes and detect noncompliance.” This need to have explicitly modeled processes to manage efficiently SOX is also supported by interviewed executives ranking the implementation of Business Process Management as highest ranking elements on their top-preferences list. Enabling Workflow Management is ranking third on the same list.

Recently (December 2003), AMR published the Report "ERP Consolidation and Automated Tools Will Reduce Long-Term Sarbanes-Oxley Compliance Costs." Based on this research, AMR recommends “linking the technical architectures for employee training and assessment to the business process design and execution systems to close the loop on compliance”. This emphasizes the need for a solid and extendable Business Process Management platform, allowing companies to integrate the e-Learning environment with the Process Modeling and publishing framework.

EZ-Process, already certified to all Baan releases, not only delivers extended BPM features such as Process Definition & Optimization tools, integration & corporate-wide deployment infrastructure, but also provide specific features to address SOX requirements.

How will Workflow Management improve your business?

Now that the Enterprise-wide transaction integration has been achieve with ERP systems, several organizations are working to add automation mechanisms into their operations. This is were Workflow Management comes into the picture to enhance significantly internal processes. To better understand in a clear manner the impacts of Workflow Management can & will have in your organization, let’s take as an example the Workflow-enabling of the Purchase Requisition Approval process.

As seen in the picture above, organizations operating in the traditional way using paper-driven requisitions rely on the actual paper transaction to initiate, execute and complete their process. The tracking of any transaction status is difficult and time-consuming, and the lost of the paper requisition goes unnoticed until a crisis erupts. Unlike the manual process cumulating extensive non-value time and resources, the Workflow-enable process enables greater speed and consistency of the process as each approval steps are sent as notifications to the appropriate users. A greater collaboration is then achieved as all requisitions/approval notes are attached directly to the electronic requisitions, enabling by itself a complete online monitoring of the approval steps, status and possible issues. The fact that the transaction to be worked on is pushed directly by the Workflow engine to the relevant user instead of having users having to “chase & find” transactions, constitute the major paradigm shift of Workflow Management, and provide significant benefits. Organizations such as MD Robotics (Baan ERP-5 customer / manufacturer of the Space Shuttle Remote Manipulator for the NASA’s space shuttle program) and Comcast Cable (non-Baan customer / largest Cable provider in the USA) are both seeing significant reduction of their purchase requisitioning cycle, translating into cost reductions and better customer services.

SSA/Baan DEM Problem Resolution & Optimization Program
For Baan IV, Baan ERP 5 and Baan 6 Customers

Not yet DEM users?
Many companies didn't yet take advantage of all software they've purchased. All Baan IV and Baan ERP implementations contain the full Baan DEM module. Recent survey's shows however that not all customers are taking advantage of this powerful software package that they've been paying licenses for. Baan DEM allows the company to tie the business processes with the underlying (Baan) application, automatically configuring end-user desktops. But did you know that Baan DEM is also an excellent starting-point and enabler of ISO certifications?

DEM users but with some issues?
Some companies using DEM are struggling to overcome common problems and pitfalls. Problems like complex authorization structures, impractical version setup or unacceptable desktop generation times; normally caused by inefficient setup and less effective decisions during the implementation. These problems hinder the company to take full advantage of the power of Baan DEM, increasing administration efforts and therefore costs, and generating frustration to end-users and application managers.
With the right approach and proven best-practices, most of these problems can be prevented or resolved. Resolved without major re-creation or design-from-scratch. DynaFlow, delivering DEM Services already since the introduction of DEM in 1996 to more than 75 companies, is offering the following program to implement DEM or to resolve all DEM (Authorization) pain for your existing DEM implementation, We also advice (and implement) best-practices for the DEM implementation at your company. DynaFlow consultants all have worked for Baan in DEM Development, Training and Product Management positions. Today, DynaFlow maintains an active connection with the SSA Global/Baan organization. With the up-to-date knowledge of Baan DEM products, DynaFlow can help you and your company to take full advantage of DEM.

Why not web-enabling your DEM Process Model? It’s FREE!

Your organization invested considerable time and effort to define DEM diagrams? Why not web-enabling them? Many Baan customers such as FTS, Siemens, Mercedes, Solectron, Poste France, Invensys, Solar Turbines, etc… have done so. With only minutes of your time, your DEM processes (Baan IV, ERP-5, 6.0) can be viewed by your entire Intranet users, using only their browser. In addition, you can enrich them by linked directly your ISO/SOX/training documents to your DEM processes. Finally, generate custom user-manuals based on their specific roles within the company.

Want to see what it will look like before? Simply visit http://www.ez-process.net/ezpubdemo.
